TERMS & CONDITIONS

ALMA Travel With Soul LLC
ALMA. Travel with soul.

Effective date October 23, 2026 Version 1.0

These terms explain how we select travelers, confirm bookings, collect payments, and handle changes and refunds. They also explain the responsibilities we share during an ALMA journey. Read them together with your journey schedule and the separate terms for your travel reservations before agreeing or paying.

1 Who we are and how to contact us

ALMA Travel With Soul LLC, a Virginia limited liability company, is called ALMA, we, or us in this agreement. You means the individual traveler accepting it. Each adult traveler must accept their own agreement, even when someone else pays.

Business address: 1390 Southside Drive, Suite 102, Salem, VA 24153
Email for questions, withdrawals, and cancellations: alma@ageoutloudbook.com
Telephone: (540) 384-0814

ALMA provides the hosting, preparation, cultural experiences, and other services listed in your journey schedule. Flights, lodging, and ground transportation are arranged through our host-agency relationship with Outside Agents and the suppliers identified in your travel documents. Your schedule will identify the actual contracting and payment recipients. The names of a website, payment processor, or card descriptor do not by themselves identify the service provider.

2 Which documents apply

Your agreement consists of these terms, the journey schedule you receive before booking, and any written changes you expressly accept. Separate host-agency and supplier terms govern the reservations and services they identify. These ALMA terms do not rewrite those separate agreements or eliminate legal rights against any provider.

A journey-specific term changes these general terms only if the difference is identified before you agree. Mandatory law controls any conflict. Website examples and unconfirmed sample itineraries are not confirmed reservations. ALMA will resolve material pricing or inclusion discrepancies with you before payment. Website revisions do not retroactively change an existing booking without your agreement, except as required by law.

3 The Traveler Profile and selection

ALMA journeys are small and personal, generally limited to 13 paying travelers with Michelle as the personal bilingual host and Chris as a guide. Your Traveler Profile helps us discuss your goals, group expectations, accommodations, and the practical requirements of the journey. Selection does not depend on speaking Spanish or choosing strenuous activities. We will consider access needs individually and discuss reasonable accommodations.

The $250 Traveler Profile Deposit is an advance payment toward the journey if you book. It is not a separate application fee, membership fee, guaranteed reservation, or permission to make nonrefundable arrangements. ALMA will not spend this deposit on nonrefundable reservations before booking confirmation. No paid membership is required to purchase this specific journey.

4 Refunds before booking

Withdrawing before a decision: You may withdraw by sending written notice to ALMA. We will issue a full $250 refund without deductions within 20 calendar days after receiving your notice.

Not selected: If ALMA does not offer you a place, we will issue a full $250 refund without deductions within 20 calendar days after notifying you of the decision.

Declining after acceptance: Acceptance is an invitation to book. If you decline before your ALMA booking is confirmed, we will issue a full $250 refund without deductions within 20 calendar days after receiving your notice.

Expired invitations: Your acceptance notice will identify a confirmation deadline. If you do not confirm by that deadline, the invitation expires and we will issue a full $250 refund without deductions within 20 calendar days after expiration. We will not move you to another journey or hold your deposit as a credit without your agreement.

5 Confirming your booking

Your ALMA booking is confirmed only after you accept these terms and your completed journey schedule, make the required booking payment, and receive written confirmation from ALMA. Any acceptance deadline and initial payment requirement must be provided before you agree. If ALMA cannot confirm after receiving a booking payment, we will return that payment and the $250 deposit within 20 calendar days unless you expressly choose an alternative.

Host-agency and supplier reservations may have different confirmation steps and cancellation rights. ALMA will not authorize a nonrefundable supplier booking on your behalf without your prior approval of its price and terms. Independently purchased travel is your responsibility, subject to the seller's terms and applicable law.

6 Journey price and payment allocation

The complete Puerto Rico journey price under consideration is $7,500 per person, based on double occupancy. Your accepted journey schedule establishes the actual price and inclusions. Your entire $250 Traveler Profile Deposit counts toward that total, leaving $7,250 at the standard price. It does not increase the total to $7,750.

Payments are divided between ALMA and the booking agency or suppliers shown in your schedule. You will receive an itemized allocation showing the recipient, purpose, due date, and credit for amounts already paid. Your payments for included services must reconcile to the agreed total. Optional purchases or private-room supplements require your separate approval.

After acceptance, you will receive a personalized payment schedule to review before confirming your booking. The schedule will identify the portion payable directly to ALMA, available installments for ALMA’s journey fee, and payments due through Outside Agents or designated travel suppliers.

Payments for flights, lodging, and transportation follow the applicable supplier deadlines and may be required earlier than ALMA’s installments. Your schedule will identify each payment’s amount, recipient, and due date, with your $250 Traveler Profile Deposit credited toward the complete journey price.

All amounts are in US dollars. The total price, including applicable taxes and mandatory charges, will be disclosed before you confirm your booking.

7 Discounts and late payments

No early-payment discount applies unless your journey schedule expressly offers one. An offer must state the eligible price, dollar savings, deadline, recipients of the remaining payments, and whether discounts may be combined. Payments already made, including the $250 deposit, count toward the discounted total. A refund is calculated from the amount actually paid, not an undiscounted advertised amount.

If a payment is late, we will contact you with the amount due and a written cure deadline before canceling your ALMA participation. Supplier reservations may have earlier deadlines that we cannot extend. We will explain those deadlines before booking. No automatic late fee, recurring charge, acceleration of all future payments, or new card charge is authorized by these general terms. A cancellation for nonpayment is accounted for under Section 8, subject to applicable law.

8 Your cancellation after booking

Send cancellation notice to the ALMA email in Section 1, naming the traveler and journey. You may also deliver written notice to our business address. For our contractual calculations, notice is effective when received, unless law provides a different rule. We will acknowledge it. You do not lose a legal right because we have not yet acknowledged your notice.

For payments ALMA collected, we will refund the amount paid less only: (a) separately identified fees for ALMA services already performed, where their amounts and earning milestones were disclosed and accepted before booking; and (b) documented, nonrecoverable third-party costs ALMA was authorized to incur for your participation. Without an agreed service-fee amount and milestone, these terms do not create a general nonrefundable ALMA fee.

We will not impose an undisclosed percentage penalty, charge twice for the same cost, or retain both a supplier recovery and your payment for that cost. We will reasonably seek available refunds or credits and provide an itemized explanation of deductions. If a replacement traveler reduces a documented loss, we will account for that reduction. A replacement is not guaranteed and must meet participation requirements and supplier rules.

We will issue any ALMA refund then due within 20 calendar days after receiving cancellation notice. A later recovery of an amount deducted as nonrecoverable will be passed on within 20 calendar days after recovery. Credits will not replace a cash refund without your agreement unless applicable law permits otherwise.

Your $250 deposit becomes part of your paid journey balance when you book and is then treated under this cancellation section. It does not automatically become a separate nonrefundable fee. Supplier payments are addressed separately in Section 9.

9 Supplier cancellations and airline rights

Flights, lodging, transportation, and other supplier reservations are subject to their disclosed terms and mandatory law. Depending on the reservation, a voluntary cancellation may produce a refund, restricted credit, fee, or no refund. Those rules must be given to you before the reservation is authorized.

Canceling with ALMA does not automatically cancel every supplier reservation. Notify the booking agent identified in your confirmation as well. We will help coordinate, but the actual recipient and legally responsible party process supplier refunds. Statutory airline refund rights and other mandatory protections are not waived by ALMA terms or a supplier's nonrefundable label.

10 Changes requested by you

Tell ALMA and the booking agent promptly about name corrections, date changes, room changes, or proposed substitutions. Approval depends on availability, group suitability, and supplier rules. We will disclose additional costs before you authorize a change. Airline tickets and other reservations may not be transferable. No change is confirmed until you receive written confirmation.

11 If ALMA cancels the journey

ALMA may cancel for insufficient enrollment only by the minimum-enrollment decision date disclosed in your journey schedule. If no such date is disclosed, this paragraph does not create an open-ended right to cancel for enrollment. We will notify you promptly if we cannot operate the journey for another reason.

If ALMA cancels the entire journey before departure, we will issue a full refund of payments we collected for that journey, including the $250 credited deposit, within 20 calendar days after notice. You may instead choose a replacement or credit in writing. This promise does not authorize us to retain an earned fee when we cancel the entire journey before departure.

Supplier reservations remain subject to their contracts and mandatory law. We will help request eligible supplier refunds and credits. ALMA does not guarantee reimbursement of independently purchased airfare, positioning travel, insurance, or personal purchases, except where our agreement or law makes ALMA responsible. We will distinguish supplier treatment from ALMA refunds in the cancellation notice.

12 Itinerary changes and extraordinary events

Weather, storms, unsafe conditions, closures, illness, transportation disruptions, community needs, or events beyond reasonable control may require changes. We may adjust the order of activities, timing, restaurants, guides, or routes for practical or safety reasons. We will aim to preserve the overall character of the journey and explain material changes promptly.

For a material change before departure, we will explain the change and available options, including applicable cancellation and refund rights. We will not treat silence as approval of an additional charge. We will obtain your agreement before charging for a replacement itinerary. A canceled included activity will be addressed through a reasonable substitute, an appropriate refund for the unprovided service, or another remedy you agree to, subject to law.

An extraordinary event does not automatically make all payments nonrefundable or permit ALMA to keep money for services not delivered. If the journey ends early, ALMA will account for unprovided ALMA services and documented nonrecoverable commitments. Mandatory rights remain intact. Personal expenses you incur during disruptions depend on the applicable contracts and law, not an automatic blanket waiver.

13 Inclusions exclusions and expectations

Your journey schedule specifies included flights, baggage, lodging, meals, nonalcoholic beverages, tips, activities, and transport. For the planned Puerto Rico journey, airfare between your home and Atlanta is separate unless expressly included. Alcohol, souvenirs, and personal purchases are excluded. Optional extras, travel insurance, and private rooms are included only when expressly listed.

Activities involving local families, schools, farms, or service partners depend on their availability and consent. A particular school visit, family visit, trail, beach, or service project is not promised unless confirmed in the accepted schedule. Cultural exchanges are respectful partnerships. Participation does not guarantee a particular personal, educational, health, or emotional outcome.

14 Rooms accessibility and transportation

The standard price assumes double occupancy. Couples may share a queen or larger bed. Unrelated travelers will not be required to share a bed. Separate beds, bathroom arrangements, stairs, air conditioning, pool access, and other material property features will be disclosed before booking. Private rooms are subject to availability and a supplement disclosed before agreement. We will not impose a new single-room charge without your consent.

Tell us about mobility, sensory, dietary, communication, and other access needs early so we can assess actual facilities and arrange reasonable accommodations. Older-adult friendly is not a guarantee of wheelchair access or step-free facilities. We will describe material limitations rather than assume one accessibility label covers the property or every activity.

Rental passenger vehicles may require steps to board and may not accommodate every mobility device. The vehicle plan, luggage allowance, and transfer arrangements will be confirmed before booking. Seat belts must be used. ALMA does not provide medical transport or guarantee wheelchair-equipped vehicles unless specifically confirmed.

15 Activity choices health and personal assistance

Activities may involve heat, humidity, uneven ground, cobblestones, stairs, rain, water, vehicle travel, and unfamiliar surroundings. We will provide practical activity descriptions and gentler options where planned. Optional challenging activities require a suitable assessment and provider approval. Swimming, hiking, and other activities are voluntary. Do not enter water, leave a route, or undertake an activity contrary to safety guidance.

Provide accurate information about the support you need to participate safely, and tell us about material changes. You do not need to disclose unrelated medical history. Consult your own qualified clinician if needed. We will discuss accommodations individually and will not treat age or a diagnosis alone as proof that you cannot participate.

Michelle and Chris Moore provide hosting and coordination, not nursing, medical supervision, or personal care. If you need personal assistance beyond the services offered, discuss arrangements before booking. A required companion's arrangements and costs must be agreed in advance. In an emergency, hosts may contact emergency services and your named contact. Medical care and related expenses depend on provider charges, insurance, and applicable law.

16 Food medication and travel documents

Tell us about allergies and dietary requirements before booking. We will communicate agreed needs to relevant providers, but shared kitchens and restaurants may not guarantee an allergen-free environment. If a requirement cannot reliably be met, we will discuss it before you commit. Carry any prescribed emergency medication and follow your clinician's advice.

You are responsible for obtaining identification and any travel permissions required for your citizenship, route, and carrier. Check current requirements with the appropriate official authority and booking agent. Ensure reservation names match your documents. Keep medication in appropriate packaging and manage your own doses unless separate assistance has been expressly arranged.

17 Atlanta meeting point and travel disruptions

Your schedule will identify the Atlanta meeting point, meeting time, included group flights, and transfer windows. Allow adequate connection time for separately booked positioning travel. Tell us promptly if you are delayed. We will reasonably assist with coordination, but replacement flights, extra nights, or transfers are not automatically included unless the agreement or applicable law provides otherwise.

A missed departure or voluntary early return is treated according to the cancellation terms and the services actually provided. It is not an automatic forfeiture of every payment. Airline disruption rights remain governed by law and the carrier or ticket-agent obligations.

18 Group conduct and safety
Treat fellow travelers, local residents, hosts, and service partners with dignity. Follow lawful safety directions, respect cultural practices and property rules, be punctual, and avoid harassment, threats, violence, illegal drugs, or conduct that places others at risk. Alcohol purchased personally must not compromise safety or group participation. Respect the privacy of children and community members.

For a significant conduct problem, we will normally explain the concern and provide a reasonable opportunity to correct it. Immediate removal from an activity or journey may be necessary for a serious safety threat. Decisions will be based on conduct and actual safety needs, subject to applicable law. We will explain financial consequences using services delivered, disclosed earned fees, and documented nonrecoverable costs. Removal does not automatically permit retention of all unused funds. We will reasonably coordinate a safe handoff or departure where feasible.

19 Hosts independent providers and responsibility

Michelle and Chris Moore are the planned ALMA hosts. If illness or another serious event affects their availability, we will notify you and explain any proposed qualified replacement and material-change options. Personally hosted does not mean continuous individual supervision, emergency clinical care, or a guarantee that both hosts are present for every separate activity.

Airlines, property owners, local instructors, restaurants, and other independent providers operate their own services. Their involvement does not excuse ALMA from responsibility for its own acts, omissions, or promises. These terms do not release claims for personal injury, excuse negligence, impose a blanket liability cap, or waive any nonwaivable right. Any separate activity-specific acknowledgment must be supplied before participation and reviewed on its own terms.

20 Insurance personal property and service concerns

Consider travel protection suitable for your needs, including cancellation, interruption, medical care, and evacuation where appropriate. Insurance is not included unless the schedule expressly says so. Coverage, exclusions, eligibility, and claim decisions are controlled by the insurer and policy. A recommendation is not a guarantee that a particular loss will be covered. We will not add insurance without your authorization.

Keep valuables, documents, and medication secure and comply with supplier luggage limits. Responsibility for loss or damage depends on the facts, applicable contracts, and law. Tell a host promptly about a service concern so we can try to resolve it during the journey. You are not required to give up legal rights to request help, dispute a charge, or make a truthful review.

21 Privacy photography and website use

ALMA uses contact, payment-status, emergency-contact, and relevant participation information to administer the journey and coordinate agreed services. Our separate Privacy Policy explains collection, sharing, retention, and applicable rights. Do not send full card numbers or detailed medical records by ordinary email. Payment-provider policies also apply to their processing.

Promotional use of an identifiable photograph, video, testimonial, or personal story requires separate permission. Declining promotional permission does not affect selection or service. Respect other travelers' photo preferences and obtain permission before photographing community members, especially children. Marketing subscriptions are optional and separate from required booking communications.

Website material may be used to plan your own journey. Do not copy ALMA materials for commercial resale or submit false information, interfere with the website, or misuse another person's account or payment details. Website use alone does not authorize a charge or create a confirmed booking.

22 Notices, disputes and legal rights

Use the contact details in Section 1 for questions or written notices. Email and postal delivery are available. Statutory notice methods and timing rules control where different. We will send booking and change notices to the contact you provide. Tell us if those details change.

You and ALMA may use electronic records and signatures by agreement, and each traveler will receive a copy they can retain. Virginia law governs the ALMA agreement to the extent permitted, without displacing mandatory federal law or consumer protections that apply elsewhere. Supplier agreements may have different governing-law provisions. We encourage an initial written effort to resolve concerns, but do not require arbitration, waive jury or class rights, shorten legal limitation periods, or restrict lawful small-claims or regulatory complaints through these terms.

If a provision is unenforceable, the remaining provisions continue to the extent lawful. Changes to an existing booking require agreement, except changes expressly permitted here or required by law. No statement in these terms replaces any mandatory disclosure, cancellation form, registration, or statutory refund requirement that applies to the actual transaction.
